FAQ
Everything you've been wondering about planning with TOR.
The short answer? Earlier is usually better!
If you're looking for full wedding planning, reaching out 12–18 months before your wedding gives us plenty of time to build your vision, source your vendors and bring all the moving pieces together.
Looking for partial planning or day-of coordination? You can absolutely reach out closer to your wedding date. We generally recommend booking at least 6–9 months ahead for partial planning and 3–6 months ahead for wedding-day coordination.
That said, every wedding is different. If your wedding is coming up quickly, don't count yourself out. Let's see what we can make happen!
Not necessarily, but it's important to understand that a venue coordinator and a wedding planner aren't quite the same thing.
A venue coordinator typically focuses on the venue itself: its staff, policies, spaces and venue-related logistics. A wedding planner works on behalf of you. We help manage your vendors, coordinate your timeline, oversee the details and make sure the entire day comes together according to your plans.
Think of it this way: your venue coordinator looks after the venue. We look after the wedding.
The two can work beautifully together, and we're happy to collaborate with your venue team. And let's be honest, they usually love having a day-of contact to work with!
No two weddings are exactly alike, so we don't believe in a one-size-fits-all planning experience.
Our process starts with a conversation. We'll get to know you, your vision, your priorities and what kind of support you're looking for. From there, we'll recommend the TOR experience that makes the most sense for your wedding.
Once we've settled on the details, you'll receive a customized proposal and agreement. After booking, we'll kick things off with an onboarding meeting and start working through your planning priorities.
Whether we're building your wedding from the ground up or stepping in to tie up the loose ends, we're here to make the process feel a whole lot more manageable.
That's completely okay! Wedding planning is a big investment, and we want you to feel confident about who you're bringing onto your team.
Start with a discovery call. It's a chance for us to chat about your wedding, answer your questions and figure out whether we're the right fit. There's no pressure to book on the spot.
We'll follow up with your customized proposal so you can review everything and decide how you'd like to move forward.
The only catch? Your date isn't officially reserved until your agreement is signed and your required booking payment is received. We're happy to give you time to decide, but we can't promise the date will remain available indefinitely.
Absolutely! In fact, that's exactly where our partial planning and wedding-day coordination services can come in handy.
Maybe you've already found your photographer, booked your caterer and secured the perfect DJ, but now you're realizing there's still a mountain of logistics to manage.
We can step in at any stage of the planning process. We'll review what's already in place, identify any gaps, organize the details and help bring everything together.
You don't have to start from scratch to have us on your team.
For the couples who have a Pinterest board, a spreadsheet, three group chats and a dream. We see you.
Of course! We love a wedding that has a little family involvement and a lot of personal touches.
Whether your aunt is making the centrepieces, your cousin is handling photography or your dad has volunteered to build the ceremony backdrop, we're happy to work alongside your chosen family vendors and helpers.
Our job is to help make sure everyone knows what they're responsible for, when things need to happen and how everything fits together.
One thing we do recommend: let your family enjoy being part of your wedding, too. Having someone manage the logistics means your favourite people can actually celebrate with you instead of spending the day chasing down extension cords.
YES. Backyard weddings, private properties and unconventional spaces are right up our alley!
A beautiful property can be the perfect blank canvas for a wedding that's entirely your own. But turning someone's backyard into a functional wedding venue takes a little more than setting up some chairs and stringing a few lights.
We can help you work through the logistics, including layout and guest flow, rentals, washroom facilities, power, catering, parking, weather contingencies, setup and teardown.
We'll help you think through the things you might not know you need to think about. Because the goal is to have a beautiful backyard wedding, not a backyard full of wedding-day surprises.
Absolutely. A meaningful wedding doesn't have to come with a massive price tag.
We believe in helping couples make intentional decisions about where their money goes, what matters most and where they can get creative. We'll help you prioritize your budget, explore practical alternatives and find ways to bring your vision to life without spending money just for the sake of spending it.
We're particularly fond of weddings that think outside the traditional venue-and-vendor model.
We'll be honest about what's realistic, where professional support is worth the investment and where a little DIY ingenuity can go a long way.
Then we're probably going to get along just fine.
Not every wedding needs a ballroom, a plated dinner and a traditional ceremony. Maybe you're dreaming of a backyard festival, a private-property celebration, a camp-inspired weekend or something that doesn't quite fit into any particular wedding category.
We're here for it.
Our approach is about creating a wedding that reflects you, not recreating someone else's Pinterest board. Bring us the unconventional ideas, the unusual requests and the inspiration you've been collecting. We'll help figure out how to turn them into an actual plan.
Different is good. Let's make it happen.
First of all, we respect a good spreadsheet.
Being organized, detail-oriented and hands-on doesn't mean you don't need a wedding planner. It just means you might have a different reason for wanting one.
Even the most organized couples can benefit from having someone manage vendor communication, oversee logistics, build a realistic timeline, troubleshoot problems and coordinate all the moving pieces on the wedding day.
You can still be involved in every decision. You can still have your spreadsheets, your colour-coded tabs and your very specific vision for the dessert table.
The difference? You don't have to be the person managing everything when your wedding day arrives.
We're not here to take over your wedding. We're here to make sure you actually get to enjoy it.
Not at all! We don't believe a meaningful wedding needs a certain price tag or guest list to deserve thoughtful planning.
Whether you're planning an intimate celebration with 30 guests or a backyard wedding with 100+, we're interested in helping you create an experience that feels like you.
Our approach is about making intentional decisions, working within your priorities and finding practical ways to bring your vision to life. We'll be upfront about what's realistic within your budget and help you determine which level of planning support makes the most sense.
We don't have a strict minimum guest count, but our packages are priced based on the services and time involved, rather than simply the number of guests.
Because great weddings aren't measured by their price tag.
The biggest difference is when we get involved and how much support you need along the way.
At TOR, we offer three core experiences:
Not sure which one sounds like you? That's what our discovery calls are for. We'll help you figure out where you need support.
Wedding planning costs can vary quite a bit depending on the level of service, the size and complexity of your wedding, the location and the amount of support you need. On average, a wedding planner can range from $1,500 to $8,000.
At TOR, our package price points are based on each couple, not a flat fee. Not all weddings are the same, we treat all of our clients uniquely with starting points, not one-size-fits-all price tags.
We know every couple has different priorities, and we're happy to discuss what makes the most sense for your wedding and budget.
We're glad you asked! We believe your wedding planning experience should reflect your wedding, not force you into paying for something that doesn't quite fit.
Our packages provide an approximate spend amount, but we will adjust the scope of services, level of involvement and planning support based on your needs.
Maybe you need a little extra help sourcing vendors, a few additional planning meetings or support with a particularly complicated setup. Or perhaps you're having a smaller wedding and don't need every element included in a standard package.
We'll talk through what you're looking for, determine what support makes sense and provide a customized proposal outlining exactly what's included and what it costs.
No mystery pricing. No unnecessary extras. Just the support you actually need.
No hidden surprises here. We want you to know exactly what you're paying for before you book.
Your customized proposal and agreement will outline your services, fees, payment schedule and any applicable additional costs.
Depending on your wedding and the services requested, additional expenses may include travel outside our standard service area, accommodations, additional planning hours, extended wedding-day coverage or other services outside your agreed package.
Any additional costs will be discussed and approved with you before they're added.
Transparency is part of the experience. The only surprises we want are the good ones!
Absolutely! Vendor communication and collaboration are an important part of what we do.
Depending on your package and the level of support you've booked, we can assist with vendor research, recommendations, booking assistance, meetings, ongoing communication and coordination.
For full and partial planning clients, this may mean helping you find the right vendors, discussing logistics, confirming details and making sure everyone is working toward the same vision.
For Final Touch clients, we'll step in during the agreed coordination period to connect with your vendors, review their arrangements and confirm the details needed for a smooth wedding day.
We'll always work within your preferred level of involvement. You can stay as hands-on as you'd like, or let us take some of those conversations off your plate. If you need us to meet with certain vendors, or better yet vet vendors, we will be happy to add that to our list of to-dos. This is our full-time priority so you don't have to take time off work to meet with potential vendors.
You hired the vendors. We'll help make sure everyone's on the same page.
TOR Signature Events is based in London, Ontario, and we're always happy to travel for the right wedding!
We primarily serve couples throughout Southwestern Ontario and surrounding communities. Depending on the location, wedding size and services required, we can also accommodate weddings outside our regular service area.
Travel fees or overnight accommodations may apply for locations further afield, and these will always be discussed upfront.
Have a dream location in mind? Don't let a little distance stop you from reaching out. Let's chat!
Our recommendation is to reach out as soon as you know you'd like professional planning support.
For full planning, we suggest booking a minimum 12–18 months in advance. For partial planning, a minimum of 6–12 months is ideal, while wedding-day coordination is best booked a minimum of 3–6 months ahead.
Of course, availability varies depending on the season and our existing bookings.
If your wedding is sooner than that, don't panic. We may still have room to jump in and help. It's always worth asking!
Weddings are our specialty, and they're where we're currently putting our creative energy and focus.
That said, TOR's background goes beyond weddings. We have experience with corporate events, conferences, fundraisers and community events, and we're always interested in hearing about the right project.
If you're a small business, nonprofit or organization looking for event support, feel free to reach out. We may be able to help!
Wedding planning is full of moving pieces, and sometimes those pieces need to move!
Whether you're changing your guest count, switching venues, adding vendors or completely rethinking your original vision, we'll work with you to understand what the changes mean for your plans.
We'll review any adjustments to the scope of services, timelines, logistics or costs and discuss the next steps with you.
If your changes require additional work outside your original agreement, we'll always communicate that before moving forward.
Our goal is to make navigating changes as stress-free as possible. After all, flexibility is part of the job!
The retainer fee provided is non-refundable after 14 days from the date of booking.
You don't need to have every detail figured out before reaching out to TOR.
If you're still deciding between dates, we can start with a conversation about your approximate wedding timeframe, preferred season and location. From there, we can discuss our availability and help you narrow down your options.
Once you've selected your date, we'll move forward with your customized proposal and booking agreement.
Just keep in mind that a date isn't officially reserved until your agreement is signed and your required booking payment has been received.
